How to segment your contacts

Most platforms organize contacts using two primary methods: multiple tags for categorization or multiple lists for segmentation. Enlitly uses a multiple-list system to streamline contact management and segmentation efficiently.

How Contact Segmentation Works in Enlitly #

In Enlitly, you can segment contacts by assigning them to multiple lists. For example, a contact like “Jane” can belong to both “List A” and “List B.” When sending emails, you can choose to target List A, List B, or both. This flexible approach allows you to create lists based on different contact statuses or events. For instance, if you’re hosting a free live webinar, you might create a list labeled “1stJanWebinar” to easily identify and communicate with participants.

To move contacts between lists:

  1. Go to the “Contacts” section.
  2. Click “Edit” for the contact you want to update.
  3. Add or remove the desired lists.
  4. Save your changes.

Using Bulk Segmentation #

Now, you can select multiple contacts at once and use the segment option to add or remove contacts from a list.

Let’s say that you want to move all selected contacts to a List named “All”, here are the steps to follow:

`Add a list named “All”

`Refresh the page to see the newly added list in the dropdown. Lists are loaded when the page loads, so newly added lists won’t appear immediately. Simply refresh the page, and the new list will be visible in the dropdown.

`Go to the Contacts area and set the number of displayed contacts to 100. Remember, when navigating between pages using Next, Previous, or Page Number, your selection gets cleared. This limits bulk actions to a maximum of 100 contacts that can be shown on the screen at a time. It’s still much faster than moving contacts individually from one list to another.

`Select all 100 contacts using the checkbox in the header and click on the Segment option available on the top right side. A modal window will appear, allowing you to: Select a list to add the contacts to; Optionally, select a list to remove contacts from.

`Choose “All” List to add contacts to and click Segment. A success message will appear.

`Wait a few minutes (Usually process completes in under 1 min), then check back to confirm that the contacts have been added to the “All” list. You will see contacts under the “All” List in the List area.

`If you have more than 100 contacts, repeat this process for each batch of 100 contacts, as that is the maximum that can be selected at once.

You will periodically need to move newly added contacts (Via funnel or Via Product purchase to the All List. This was not automated intentionally because ideally you would let any new contact complete your lead generation/onboarding sequence before moving to this generic All list for future emailing.

Pro Tips for Managing Your Contacts #

Here are some best practices to help you effectively manage and organize your contact lists in Enlitly:

Maintain a Master List: Consider creating one main list, which could be labeled “All”, “Main,” “Master,” or “All Contacts.” This list can be used for sending bulk announcements or sequence emails intended for all your contacts.

Limit the Number of Lists: Regularly organize and consolidate your contacts to keep the number of lists manageable. Having too many lists can lead to over-segmentation, making contact management more complex than necessary.

Use Short List Name: Short but something that reminds you what the list is for. For e.g. 1stJan25Webinar is short and for those who attended the webinar on 1st Jan. Shorter names come handy when moving contacts from one list to other.

Be Mindful of Sequence Triggers: When adding contacts to a List, remember that if a list is associated with an email sequence, adding a contact may trigger that sequence. Always review the sequences tied to lists before transferring contacts.
